Lead Intake & Follow-Up Engine
Why this matters for professional services right now
In a services firm, the people who sell the work are the same people who do the work. So follow-up happens when there is a gap in the schedule, which in a good month means it does not happen at all.
This is the least glamorous and most valuable thing AI does. It picks up the enquiry, books the consultation, keeps the pipeline honest, and chases the proposal you sent three weeks ago and have not thought about since.
AiD Design is an AI and automation agency based in Melbourne. We build these systems for businesses across Australia, and for US businesses through our partnership with MyLocalEverything.
The automations
What we put to work
We rarely build all of these at once. We start with the one costing you the most, prove it, then add the next.
AI web and phone intake
Catches the enquiry whichever way it arrives, including the calls that go to voicemail.
Consultation scheduler
Puts a time in the diary while the prospect is still on the page.
CRM pipeline with stage automation
Moves the deal along and prompts the next action, so nothing sits in a stage for a month.
Meeting reminders and prep notes
Reminds both sides, and hands you a short brief on who you are about to meet.
Proposal follow-up and review requests
Chases the proposal at a sensible cadence, and asks for the review once the work has landed.
Our process
How a build actually runs
Six stages. You see something working long before the last one.
Discovery
We sit with how the work actually moves through your week. Who touches an enquiry, where it stalls, and what it costs you when it does.
Strategy
We pick the handful of jobs worth automating first, and say plainly which ones are not worth it yet. You get the reasoning, not just the recommendation.
Design
We map what each automation does, what it never does without you, and what the customer on the other end experiences.
Develop
We build it against your real systems and your real data, so you are reviewing the working thing rather than a description of it.
Implement
It goes live in draft-for-approval mode. Nothing reaches a customer until you have seen the shape of what it sends.
Accelerate
Once it has earned trust we widen its remit, tune what is underperforming and add the next job to the queue.
Questions
Asked, answered
We already have a CRM nobody updates. Will this fix that?
Partly. The reason CRMs go stale is that updating them is manual. If the record updates itself from what actually happened, people stop avoiding it.
Will follow-up feel pushy to our clients?
You set the cadence and approve the tone. In practice the firms we work with were following up too little rather than too much.
