Agents 101: what they actually do all day

“AI agent” sounds like science fiction until you watch one work. Here’s a plain-English tour of what agents actually do inside a small business.

What is an AI agent?

An agent is software that pursues a goal across multiple steps, using your real tools (email, calendar, documents, spreadsheets) to get there. That’s the difference from a chatbot: a chatbot answers a question; an agent finishes a job. You give it “chase the unpaid invoices”, not “what should I write in this email?”.

A day in the life

Inside a business like yours, agents spend their day on the work that eats yours:

  • 7am: triages the overnight inbox, answering the routine, flagging the urgent and drafting replies for the rest.
  • 9am: preps quotes, pulling the job details, checking your pricing rules and drafting the document for sign-off.
  • Midday: researches the prospect you’re meeting, the supplier price change, the review that needs a reply.
  • 4pm: follows up on the quote from last week, the client who went quiet, the testimonial you never asked for.
  • 6pm: writes you the summary of what happened, what it did and what needs a human tomorrow.

What agents are bad at

Judgement calls, final sign-off, and anything genuinely novel. Good agent design assumes this: the agent drafts, a human approves. Every agent we build starts in draft-for-approval mode: you see everything before it leaves the building, and it earns autonomy one workflow at a time.

How do you start?

Pick one repetitive workflow that annoys you weekly. Inbox triage and quote prep are the usual winners. Run the agent in draft mode for a fortnight, count the hours it hands back, then expand.
